The role
NeuroDoctrine is building the neural operating system for defence and space — the platform that lets a single mind command a swarm of machines, in real time.
We're a frontier technology company operating at the intersection of neuroscience, artificial intelligence, autonomous systems and human performance. After years of research and development, we're entering a major new phase of international growth, with operations spanning the United States and Europe.
We are looking for a highly organised, proactive and exceptionally capable People Operations & Executive Assistant to join our Los Angeles operation.
This is a broad, high-trust role for someone who thrives in a fast-moving environment and enjoys being close to the action. You'll support the development of our US people operations while providing hands-on executive and operational support to leadership.
You'll coordinate recruitment, onboarding, employee administration and people processes, while also helping manage executive schedules, travel, meetings and relationships with investors, government stakeholders, defence partners and international visitors.
You'll be one of the people helping turn a rapidly growing company into a well-run organisation.

What you’ll do
People Operations & HR
- Coordinate US recruitment processes from application through offer and onboarding.
- Manage candidate communication, interview scheduling and follow-ups.
- Screen CVs against role requirements and coordinate first-stage interviews.
- Prepare offer documentation and employment paperwork.
- Maintain accurate and confidential employee records.
- Coordinate onboarding and offboarding for US employees.
- Maintain employee information through our People Performance & Culture (PPC) platform.
- Support payroll administration and liaise with external payroll and HR providers.
- Coordinate employee benefits administration and routine HR queries.
- Maintain HR policies, templates, trackers and internal documentation.
- Support employee engagement initiatives and team events.
Executive Support
- Manage calendars, meetings, interviews and confidential appointments.
- Coordinate schedules across US and European time zones.
- Arrange domestic and international flights, hotels, transport and itineraries.
- Coordinate visits from investors, government officials, defence partners and international guests.
- Prepare briefing materials, agendas and follow-up actions.
- Handle sensitive correspondence and information with absolute discretion.
Recruitment & Talent
- Help build NeuroDoctrine's US talent pipeline.
- Coordinate relationships with recruiters, universities and talent partners.
- Organise interviews and recruitment events.
- Maintain accurate candidate records and recruitment trackers.
- Help create an exceptional candidate experience throughout the hiring process.
Operations & Projects
- Support the launch and growth of NeuroDoctrine's US operations.
- Coordinate meetings, events, off-sites and international visits.
- Manage suppliers, venues and external partners.
- Support cross-functional projects as required.
- Identify operational gaps and build processes that make the organisation more efficient.
International Coordination
- Work closely with colleagues across the UK, Belgium and Luxembourg.
- Coordinate people and operational processes across multiple jurisdictions and time zones.
- Support international travel and mobility.
- Help ensure US operations remain aligned with wider company processes and standards.
What you’ll bring
You are exceptionally organised, discreet and proactive.
You don't wait to be told what needs doing. You anticipate problems, solve them and keep things moving.
You're comfortable operating in an environment where priorities change quickly and where the answer isn't always written down somewhere. You can move seamlessly between recruiting a new team member, organising an executive's travel, handling a confidential HR matter and coordinating an important external meeting.
You have excellent judgement, strong communication skills and a genuine bias towards action.
Most importantly, you take ownership.
Skills & Experience
- Previous experience in HR, People Operations, Executive Assistance, Operations or a similar high-responsibility role.
- Experience supporting senior executives, founders or leadership teams is highly desirable.
- Excellent organisational and prioritisation skills.
- Exceptional written and verbal communication.
- Strong attention to detail and discretion.
- Comfortable handling confidential employee and business information.
- Proficiency with Microsoft Office and Google Workspace.
- Experience with HRIS, people-management or applicant-tracking systems is advantageous.
- Comfortable working across multiple time zones.
- Strong problem-solving ability and sound judgement.
- Ability to work independently in a fast-moving startup environment.
- A genuine bias to action and willingness to take ownership beyond a narrowly defined job description.
